So, in this post, we’ll explore some proven tips and tools to help you manage your time like a pro.

BUT REMEMBER! There’s no “one-size-fits-all” approach to time management. Effective time management usually requires a unique combination of time management tips and tools that cater to your unique situation. It will also require you to continually review and tweak your techniques until you find that perfect fit.

1. Prioritize Your Tasks with the Eisenhower Matrix

First up, when it comes to effective time management techniques, you need a method that helps you prioritize your tasks.

Why?

Because one of the main reasons why we’re not able to manage our tasks effectively is because we don’t have a system in place to help us know what task to do when. And this matters! Because often we’re running around tackling all kinds of “side quests”, thinking that if we get them out the way first, we’ll have time for the “main quest”. But usually, this only derails our productivity.

So how do we boost productivity?

Enter the Eisenhower Matrix.

The Eisenhower Matrix, also known as the Urgent-Important Matrix, is a powerful tool to help you prioritize your tasks and so boost productivity. It divides tasks into four categories:

  • Urgent and Important: Tasks that require immediate attention.
  • Important but Not Urgent: Tasks that are important but can be scheduled for later.
  • Urgent but Not Important: Tasks that are urgent but don’t necessarily contribute to your long-term goals.
  • Not Urgent and Not Important: Tasks that are neither urgent nor important and can be eliminated.

By categorizing your tasks, you can focus on what truly matters and avoid getting bogged down by less important activities.

2. Embrace the Pomodoro Technique

One of my favorite time management techniques is the Pomodoro Technique. And it’s one of my favorite ways to manage time effectively because it’s a no-fluff, simple to learn, and simple to apply time management tool. And it also just works with my tasks. 

The Pomodoro Technique is a time management method that encourages working in short, focused bursts with regular breaks.

Here’s how it works:

  • Set a timer for 25 minutes and work on a single task without interruption.
  • When the timer goes off, take a 5-minute break.
  • After four Pomodoros (work sessions), take a longer break of 15-30 minutes.

Told you it was simple!

I’m a big fan of this technique because it seriously helps me maintain high levels of focus on the task at hand, but also helps prevent task fatigue. It also helps to make it easier to manage those larger projects by breaking them down into manageable chunks.

Now that you’ve been equipped with some effective time management techniques, it’s time to add so nifty time management tools to your arsenal.

3. Use Time Management Tools

The “digital age” may be part of the reason why we need to know how to use our time effectively in the first place, but it is also thanks to this “digital age” that we have some pretty cool time management tools at our disposal. 

There are numerous tools designed to help you manage your time more effectively and boost productivity. Here are some of our top picks:

  • Trello: Trello is my top pick when it comes to time management tools! It’s what we use here at We Edit Podcasts to keep all tasks on track. Trello is a really versatile project management tool that uses boards, lists, and cards to help you organize tasks and collaborate with others.
  • Todoist: I know quite a few other content creators that use Todoist. They say it’s a great tool as it’s essentially a powerful to-do list app that lets you create tasks, set deadlines, and track your progress.
  • Google Calendar: Google Calendar is a great choice for people who want their calendars in one location. First and foremost, Google Calendar is used to show you your time spent in meetings. But Calendar’s robust analytic features can also track your time at work. So you can then ensure that you’re maximizing your time and managing your time efficiently.

Once you have your tools, our next time management tip applies to the type of goals you set, and importantly, how you set those goals.

4. Set SMART Goals

This is not something groundbreakingly new. SMART goals is a concept that we’ve all heard about at some point or another. But I’m here to tell you that this time, the “hype” around smart goals is well-earned!

Because setting clear and achievable goals is essential for effective time management. And the SMART criteria are just a simple yet really effective way to ensure your goals are well-defined.

In case you need a refresher, here’s how to set SMART goals.

In order to be SMART, your goals need to be:

  • Specific: Clearly define what you want to accomplish.
  • Measurable: Ensure you can track your progress.
  • Achievable: Set realistic goals that are within your reach.
  • Relevant: Align your goals with your long-term objectives.
  • Time-bound: Set a deadline for achieving your goals.

By setting SMART goals, you can create a clear roadmap for your tasks and stay motivated to complete them.

5. Minimize Distractions

I’m not going to beat around the bush here. Distractions are one of the biggest obstacles to effective time management. We know this. But it’s sometimes tough to actually do something about this. So, here are some strategies to minimize those distractions:

  • Create a Dedicated Workspace: This tip is especially for those of us who work remotely. Designate a specific area for work to help you stay focused. (DO NOT, I repeat, DO NOT make your bed your “dedicated workspace”!)

  • Turn Off Notifications: Silence non-essential notifications on your phone and computer.
  • Use Website Blockers: Tools like StayFocusd or Freedom can block distracting websites during work hours. Or even just using the screen time limit functions on your phone can be a great help here.
  • Set Boundaries: Let others know your work hours and when you should not be disturbed.

When you start tracking your time, you’ll be amazed (okay, shocked is probably the more appropriate word!) by the time you spend on those little distractions. They add up! But by reducing distractions, you can maintain your focus, complete tasks more efficiently, and boost productivity.

Effective time management is another one of those things that looks different for different people. And so it is really important that as you start to apply these time management tips and tools, you give yourself the time and space to figure out what strategies, or combination of strategies, works best for you.

Take time at the end of each week to reflect on what worked, what didn’t, and how you can improve.
